Event Coordinator - American Airlines Center (Dallas, TX)

Job Title: Event Coordinator
Department: Events
Reports To: Event Services Manager
Classification: Exempt
Paygrade: EX03

Summary:
Coordinates, monitors and supervises execution of all arena events. Oversees all event operational matters for the facilities major tenants (Dallas Stars, Dallas Mavericks, Dallas Desperados) while taking into account the overall management of the facility and provides assistance to other departments to ensure facility readiness and post event operations.

Essential Duties and Responsibilities: include the following, other duties may be assigned.
Supervises/monitors the facility’s event workflow for all departments including Concession, Operations, Guest Services and Security to ensure a successful arena event while overseeing a staff of part-time and event staff employees,
Conducts physical inspections of all areas of the facility to ensure correct setup and safety for patrons
Creates event memos and reports detailing facility set up for events and recommends any changes necessary to reduce facilities expenses and increase event revenue.
Assists ESM and Operations Manager in facility scheduling and event calendar maintenance for coordination of clients/tenants specific events requirements.
Interacts with public in areas of customer service, problem solving, and stressful conflicts and under time constraints.
Acts as Manager on Duty in absence of any higher ranking personnel;
Serves as direct communication link with team representatives and promoters for coordination of client/tenant specific event requirements and decisions relating to these matters;
Coordinates and conducts site surveys for future events and attends event related meetings;
Creates facility maps utilizing AutoCad to assist facility Box Office in building event in ticketing system;
Recommends to ESM and AVP of Event Development, event staffing requirements including Police, Paramedics and Guest Services and disseminates this info to all departments utilizing the above referenced event memo.
Completes Event Recap of past events noting items of importance in consideration for future events.
Seeks input from tenant representative on overall satisfaction of AAC facility and staff by use of event critique.

Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The employee should also have the following qualifications;

Experience/Education:
College Degree BS/BA, with two years of events production experience or any equivalent combination of education and experience in a facility with NBA and/or NHL franchise.

Be able to operate a variety of office equipment including fax machine and copier.

Physical Qualifications:
Ability to regularly stand, walk, talk, hear, use hands to handle or feel, and climb stairs. Ability to lift and/or move up to 50 pounds.
Ability to respond on an immediate basis during normal business hours, after hours and on weekends via mobile phone is required/company phone allowance is provided on bi-weekly basis as compensation for this job requirement/employee must purchase mobile phone and service plan of their own choosing with responsibility for the repair and/or replacement of the phone.
Employees with this phone access requirement are not restricted in their movement, location, and activities during off hours when they are not at work.

Work Environment:
The noise level in the work environment is usually moderate, however, during events, the noise level may be loud;
Employees must be able to work on evenings, weekends and holidays as required.
